The Personal Assistant (PA) to the Director of Sales and Marketing will provide high-level administrative and operational support to ensure the smooth execution of the Director’s duties. This role requires excellent organizational, communication, and multitasking abilities, with a strong understanding of sales and marketing workflows in the hospitality and villa management industry
Key Responsibilities :
Administrative Support
- Manage daily schedule, calendar, appointments, and travel arrangements for the Director.
- Prepare reports, presentations, proposals, and briefing materials as needed.
- Organize and coordinate internal and external meetings, taking minutes and following up on action items.
Sales & Marketing Coordination
- Assist in the coordination of marketing campaigns, social media planning, and content reviews.
- Help manage relationships with partners, villa owners, agencies, and suppliers.
- Maintain and organize client databases, marketing documents, and contracts.
Communication & Correspondence
- Screen and manage emails, phone calls, and other communications on behalf of the Director.
- Draft and proofread internal memos, client communications, and meeting notes.
- Act as the primary point of contact between the Director and internal teams.
Project & Task Management
- Track key deadlines, project timelines, and ensure timely execution of marketing activities.
- Coordinate event planning, promotional materials, and campaign launches.
- Provide support for villa launches, site visits, and partner engagement events.
Confidential & Strategic Support
- Handle sensitive information with discretion and confidentiality.
- Assist with research, competitor analysis, and data collection for strategic decisions.
- Support in compiling reports for senior management and stakeholders.
Qualifications:
- Bachelor’s degree in Marketing, Communications, Hospitality, Business Administration, or a related field.
- Minimum 2–3 years of relevant experience, preferably in the hospitality, property management, or sales & marketing environment.
- Previous experience as a Personal Assistant, Executive Assistant, or Marketing Coordinator is highly desirable.
Skills & Competencies
Technical & Marketing Knowledge
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Familiarity with marketing tools (e.g., Canva, Mailchimp, Google Workspace).
- Understanding of digital marketing, branding, and social media concepts.
Communication & Organization
- Excellent verbal and written communication skills in English (and preferably Indonesian).
- Strong interpersonal skills, with a professional and client-focused approach.
- Highly organized, detail-oriented, and capable of multitasking under pressure.

- Discreet, trustworthy, and able to handle confidential information.
- Proactive and solution-oriented with a strong sense of ownership.
